2021 Summer Swim Team COVID Modifications

June 30: July Meets!

July 10 - At Newport Hills (1899 Port Carlow Place, Newport Beach, CA)

  • This meet will be swam with TWO sessions:
    • 9 and up will be in the morning session, with warmup at 8:15 and the meet starting at 9:00, ending at approx. 11:30
    • 8 and under will be in the afternoon session, with warmup starting at 12:15 and the meet starting at 1:00 pm
    • Relays are TBD and will be confirmed the week of the meet.
    • Parents will be allowed on deck; pop ups will be allowed in the grass area!

July 17 - At Pacific Sands (8141 Atlanta Avenue, Huntington Beach, CA)

  • This meet will be swam as a NORMAL meet with a single session
    • Warm up will begin at 8 am, with the meet at 9 am for all ages!
    • Relays will take place - which means up to four swims instead of three!
    • A normal meet runs from 9 am until approx. 2 pm
    • Parents will be allowed on deck; pop ups will be allowed in the parking lot area (there is no grass area at this pool, the parking lot is closed and reserved for pop ups only)!
    • Much more information will be provided as this meet comes closer!

July 24 - Home meet vs. Harbor View

  • This meet will be swam as a NORMAL meet with a single session
    • Warm up times will be provided in advance; the meet begins 9 am for all ages!
    • Relays will take place - which means up to four swims instead of three!
    • A normal meet runs from 9 am until approx. 2 pm
    • Parents will be allowed on deck; pop ups will be allowed in grass area!
    • Much more information will be provided as this meet comes closer!

We've had a few great questions about how ribbons and placements work. There are three ribbon types that are handed out:

  • Place Ribbons: Our league recognizes places 1-6 for each event. If your swimmer places in the top 6, they will receive a place ribbon notating their place and time
  • Participation Ribbons: Anyone who swims and does not place 1-6 will instead receive a participation ribbon, which provides your time. If your swimmer DQs their event, they will still receive a ribbon with a DQ instead of a time. Therefore, each swimmer will receive either a place or a participation ribbon for every race they swim!
  • Rainbow Ribbons: These are our time improvement ribbons! If your swimmer improves their time from any previous swim this season, they will receive a rainbow ribbon congratulating them! For every 3 Rainbow Ribbons received, they can head to the snack bar for a free candy!

Scoring: We've also have a few questions about scoring. Scoring works the following way for individual swims:

  • The 5 fastest times of each event score points
  • Points are: 7, 4, 3, 2, 1
  • Each team cannot score more than 3 swimmers in one event. Therefore, even if one team finishes in every position 1st-5th, they would receive points for 1st, 2nd, and 3rd. The other team would then receive points for 4th and 5th place, regardless of the placement of those swimmers

If you are the parent of a teenager (13+) you should have received an email earlier today regarding the upcoming Teen Paddle Board activity on July 12th! Please contact us if you did not receive this email.


Our Last Virtual Meet is this Saturday, June 26th against Lake Forest! We then have a week off for the 4th of July (no practice July 5th), and move to in person meets by visiting Newport Hills at their pool on July 10th. We are still working with the league on what July meets will look like, but we do expect to have fewer sessions and potentially even move towards a normal meet schedule. We will provide an update as soon as possible - and remember, we will need volunteers to assist in July as well

June 17

  • Per California's latest mask mandate update, vaccinated employees can no longer wear a mask if they so choose. Therefore effective June 18th, our coaches who are vaccinated may choose to no longer wear a mask. Please note this is in accordance with all local and state laws and mandates.
  • Summer Practice schedule goes into effect June 28th!  See the schedule here:  https://www.greenbrookgators.org/practice-schedule
  • We are finalizing what July meets will look like, and anticipate a progression towards a standard meet experience, including relays and a full single day session.  More information will be provided as soon as it is available.

June 10: Updated Order of Events

Note:  For the 13-14 and 15-18 age groups, the Home Team for each meet decides if a 50 free (events 21-24) or a 100 free (events 83-86) will be swam. This season, we expect mostly 50 frees to be swam.  When this occurs, events 21-24 will be skipped and not swam.

June 8: Updated Session Times

Based on our experience and timing of our first meet, we have adjusted the two afternoon session times for the upcoming meets to the following.  We have also extended the swimmer declaration deadline for the June 12th meet only to Thursday, June 10th at noon in order to account for any changes you may need to make based on this updated schedule.


Updated Swim Meet Session Times

  • 5-6 and 7-8 girls (no change):
    • 8:15 am arrival, 8:45 - 9:45 am session time
  • 5-6 and 7-8 boys (no change):
    • 9:45 am arrival, 10:15 - 11:15 am session time
  • 9-10, 11-12, 13-14, and 15-18 girls:
    • 11:00 am arrival, 11:30 - 12:30 pm session time
  • 9-10, 11-12, 13-14, and 15-18 boys:
    • 12:15 pm arrival, 12:45 - 1:45 pm session time

May 28 Update: Picture Day

Team Picture day will be on Friday, June 11th!  There will be NO practice on this day due to pictures.  

  • Individual pictures start at 3:30
  • Team picture at 4:30
  • Individual pictures continue after group picture as needed

Picture envelopes will be handed out by Coach Kyle at practice the week of May 31st.  Pictures are optional.

May 14 Update



  • Swim Meet Session Times
    • We have made small adjustments to the session times:
      • 5-6 and 7-8 girls:
        • 8:15 am arrival, 8:45 - 9:45 am session time
      • 5-6 and 7-8 boys:
        • 9:45 am arrival, 10:15 - 11:15 am session time
      • 9-10, 11-12, 13-14, and 15-18 girls:
        • 11:00 am arrival, 11:30 - 1:00 pm session time

        • 1:00 pm arrival, 1:30 - 3:00 pm session time
    • Please be patient and understanding that no one has operated meets in this fashion before. We expect adjustments, particularly after our first meet and it is likely that times for the future meets will change based on what we learn on June 5th, as well as changing covid restrictions in mid-June and into July. Thank you for your understanding

  • Job Needs
    • Since we are having meets this year, we will need some help from you! We have significantly reduced the number and types of jobs for meets this year, running as thin as possible. However, we still do need your help as meets literally cannot be ran without our amazing families!
    • We need 3 shifts from each family this year. Further, shifts average about 1.5 hours each, down from 5-6 shifts of 3.5 hours each in previous seasons
    • This is the best way to get a front row seat to watch your swimmers, as no parents will be allowed on the deck unless actively volunteering
    • We will open jobs for all June meets on Wednesday, May 19th at 6:00 pm. Once open, you can up on the SwimTopia mobile app or here: https://www.greenbrookgators.org/calendar-and-meets
      • This link is the “Schedule and Events” link on our website, easily accessible at any time from the navigation menu
      • Be sure to log into your account, then sign up for the shift and jobs that you want. Jobs are available on a first come first serve basis.
      • We will open the July meets later in June

  • Declaring Your Swimmers for Meets
    • This year, you MUST positively declare each swimmer for every meet, or they will not be seeded for the meet!
    • This can be done from the SwimTopia app or the following website by clicking on “Meet Entry”: https://www.greenbrookgators.org/calendar-and-meets
    • Declaring will open two weeks before each meet, and will close at midnight the Tuesday before each meet, allowing coaches time to seed swimmers
    • Important: If you do not log in and indicate that your swimmers will attend each meet, they will NOT be entered into the meets!

  • SwimTopia Mobile App
    • It is strongly recommended to download the SwimTopia app, available on iOS and Android
    • Utilizing the app has several benefits, from receiving push notifications for meet day updates, signing up for jobs, declaring your swimmer, seeing your swimmers heat/lane seeding for meets, tracking meet progress in real time, swim results, etc.
    • Please note that most features are free, but we suggest signing up for the Pro version ($2.49/month) which provides you access to meet-day info like heat sheets, results, and live meet updates (what heat/event is in the water). Since our meet season is only two months long, this will only cost you $5 for June – July. Just remember to cancel the subscription after our last meet!

Modified Meet Configuration

Meet Configuration and Expectations:
  • Swimmers:
    • Must be lined up on the grass area prior to arrival time
    • Coaches will guide swimmers into the pool area at arrival time; no late swimmers will be allowed to enter so please be on time!
    • Swimmers will remain with coaches on the pool deck for the entire race session, only leaving the deck when all races have been completed
    • No warmups at Greenbrook Pool (visiting pools TBD) 
    • No Relays will be swam this year
    • Up to 3 individual events per swimmer per meet
    • No team records will be set this year due to having only one timer per lane
    • For in-person meets, teams will be kept physically separate, on opposite sides of the pool, with designated staging areas
    • Swimmers will exit the pool opposite the side from the next starting heat, to reduce crowding
    • Swimmers must wear a mask entering and exiting the pool deck, and at all reasonable times when on deck
    • No Relay Finals or Finals meet this year

  • Parents and Spectators:
    • Races will be live streamed for parents and spectators to observe remotely (format TBD)
    • Parents may not enter the pool deck or upper deck at any time. 
    • Please minimize contact with families other than your own. 
    • If possible please drop children off and pick them up after their events are completed. If you have to stay, small coverings are allowed, but avoid easy ups/pop-ups unless absolutely necessary.
